# CMA admins explained

## How CMA admins manage agents on a CMA

### Overview

As a CMA admin, you can create CMAs on behalf of agents in your company, choose who owns each CMA, and add up to 2 collaborating agents. Each agent on the CMA gets their own Meet your Agent page. Owners who aren't CMA admins can also add collaborating agents, but they can't change the owner. Site Users can create a CMA, turn on Collaborate with other agents, and add collaborating agents, but they can't change the owner either.

The Owner label only appears on the Customise CMA step. Everywhere else, such as the dashboard, the CMA still shows Prepared By.

**What makes a CMA admin?**

A CMA admin is a permission that is by default attached to the Admin role.

**Whose cover image, cover letter, PDF inserts, and page order are used**

- **The creator's.** Whoever created the CMA, their cover image, cover letter, PDF inserts, and page order are copied into the CMA when collaborators are added, or when a CMA admin changes the owner. This happens even if Collaborate with other agents is off.
- **Example, CMA admin assigns a CMA to a new owner:** a CMA admin creates a CMA that isn't collaborative and assigns it to another agent. The CMA admin is the creator, so the CMA admin's cover image, cover letter, PDF inserts, and page order are copied into the CMA assigned to the new owner. The new owner's own aren't used. Changes in that CMA only apply to that CMA.
- **Changes to these in a CMA with a copy only apply to that CMA.** They don't change anyone's other CMAs.
- If no CMA admin was involved in creating the CMA and it isn't collaborative, the agent's cover image, cover letter, PDF inserts, and page order stay with them. Changes are saved and used the next time they create a CMA.

### Before you start

- You need the CMA admin permission. Your Branch Manager or office owner usually decides who has it.
- You can only choose agents from your company.
- A CMA can have up to 3 agents: the owner and up to 2 collaborating agents.

### Change the owner of a CMA

1. Create a new CMA, or open an existing CMA and go to the Customise CMA step.
2. Open the **CMA Properties** section.
3. Under **Prepared By**, you're shown as the owner by default.
4. Search for the agent by name, or scroll the list, and make them the owner.
5. Select **Save changes**.

This works the same way as changing the Prepared By user did before CMA Collab. The new owner's agent details (their Meet your Agent page) appear on the CMA, and they receive an email letting them know. You keep access to the CMA because you're a CMA admin.

When you change the owner, your own cover image, cover letter, PDF inserts, and page order are copied into the CMA, because you're the creator. This happens even if Collaborate with other agents is off. Changes to them only apply to that CMA.

### Add collaborating agents

1. In **CMA Properties**, turn on **Collaborate with other agents**.
2. In **Add an agent**, search for an agent by name and select them. You can add up to 2.
3. Drag agents into the order you want them to appear on the CMA.
4. Select **Save changes**.

Newly added agents get an email when you save. It says you've added them as a collaborator on a CMA and has a **View CMA** button. Select **Reset** to undo changes you haven't saved yet.

When collaborating agents are added, the creator's cover image, cover letter, PDF inserts, and page order are copied into the CMA. If you created the CMA, these are yours. Changes to them only apply to that CMA.

The steps are the same if you're the owner and not a CMA admin, or if you're a Site User.

### What collaborating agents can do

Collaborating agents have equal edit access to the CMA. They can add or select comparables, add notes, and add PDF inserts (up to the current limit of 10), just like the owner. They can also change the order of agents. Changes they make only apply to that CMA.

Only the owner or a CMA admin can add or remove agents or turn off Collaborate with other agents.

### Change the order of agents

CMA admins, the owner, and collaborating agents can change the order. Drag agents in **Prepared By** into the order you want them to appear on the CMA, then select **Save changes**.

### Remove a collaborating agent

Owners and CMA admins can remove collaborating agents. Collaborating agents can't remove agents.

1. In **Prepared By**, select \[remove\] next to the agent.
2. Select **Save changes**.

After you save, the CMA no longer appears on their dashboard or in the appraisals section.

### Turn off Collaborate with other agents

Only the owner or a CMA admin can turn off **Collaborate with other agents**. Collaborating agents can't turn it off.

When you turn it off:

- Changes to the CMA are saved.
- The collaborating agents are removed from the CMA.
- The cover image, cover letter, PDF inserts, and page order stay with that CMA only.
- Only the owner and CMA admins can make changes after that.

### Good to know

- Currently, Digital CMA only shows the owner's agent details. Collaborating agents aren't shown.
- You keep full access to every CMA in your office, whether or not you're one of its agents.
- If you change the owner to another agent, or you're removed from the list of agents on a CMA, you can still see and open the CMA because you're a CMA admin.
- The Owner label only appears on the Customise CMA step. Everywhere else, the CMA still shows Prepared By.
- Only CMA admins can change the owner. Owners and CMA admins can add and remove collaborating agents.
- Site Users can create a CMA, turn on Collaborate with other agents, and add collaborating agents. They can't change the owner.
- Collaborating agents have equal edit access to the CMA, so they can add or select comparables, add notes, and add PDF inserts (up to the current limit of 10), just like the owner. They can also change the order of agents. They can't add or remove agents or turn off Collaborate with other agents.
- Changes made to the CMA while Collaborate with other agents is on only apply to that CMA.
- When you turn off Collaborate with other agents, the collaborating agents are removed and changes to the CMA are saved. The cover image, cover letter, PDF inserts, and page order stay with that CMA only.
- When you assign a CMA to a new owner, your cover image, cover letter, PDF inserts, and page order are copied into that CMA, even if Collaborate with other agents is off. Changes to them only apply to that CMA.
- In a CMA that isn't collaborative and wasn't created by a CMA admin, an agent's cover image, cover letter, PDF inserts, and page order stay with them, and changes carry over to the next CMA they create.
